This position will be part of a new Global Patent Operations Team within Roche's Group Patents function. The team will develop and oversee global patent operations including docketing, annuities, patent filing, IT system support and the policies, procedures, structure and flow of information required to ensure efficiency and compliance.

Scope:

This position maintains an electronic intellectual property docketing system to track deadlines and manage the company's intellectual property assets and prepares correspondence to affiliates and outside legal counsel in order to minimize the amount of attorney time required for such efforts. The position also manages patent annuities in cooperation with annuity service provider to ensure annuity deadlines are calculated accurately. Manages incoming correspondence and files appropriately in global electronic records management system to ensure documents are available for action by attorneys.

Knows and applies the fundamental concepts, practices and procedures of the particular field of specialization. Requires on-the-job training or formalized education in specific area. Requires in-depth evaluation, originality or ingenuity. Work is varied, unique and substantially more complex in nature. Significant level of responsibility and independent work. May serve as a peer mentor and point of escalation for new or less experienced members of the team and assists the Head of Data & Annuities by providing a lead presence at a Site or within a subject matter area. Heavy interaction with internal customers, departments and local site teams.

Responsible for maintaining and continuously improving the quality system and achieving quality objectives through daily actions.

Your tasks and responsibilities will include:
  • Serves and acts as a Single Point of Contact and subject matter expert on all matters relating to IP docketing administration.
  • Manages and maintains IP management database to ensure fully-accurate and current information at all times. Includes producing and delivering routine and adhoc reporting to ensure that stakeholders are proactively informed of expirations, deadlines and other key matters affecting IP applications and protection of current IP.
  • Manages patent annuities in cooperation with attorneys/agents, annuity service provider, and local agents, to ensure annuity deadlines are calculated accurately. Contacts annuity vendor to process last minute payments and abandonment instructions
  • Responsible for internal audit of newly-created records to ensure that all data entry is complete and accurate. Reviews granted cases for the proper calculation of expiration date and annuity payment deadlines.
  • Investigates and resolves data discrepancies and other issues in the IP management system and global electronic records management. Taking responsibility for the completeness and correctness of the data
  • Maintain knowledge and understanding of patent rules, procedural laws and amendments, provide summaries, deadline reports and other materials related to docketing.
  • Participates in various projects and initiatives to enhance or otherwise streamline Group Patents or Global Patent Operations Team resources (e.g., new systems, applications, tools, policies, procedures, team development).
  • Assists with onboarding and training new team members, key stakeholders, and other partners on IP docketing administration practices, processes, systems, databases and other tools, resources and standards.

Do you meet the following requirements?

  • Commercial Diploma or equivalent education preferred (EU) Patentanwaltsfachangestellte or CIPA education preferred (EU). Bachelor's degree or equivalent (US)
  • Minimum 8 years of experience as a patent administrator, paralegal or formalities officer. Experience leading other professionals is preferred.
  • A strong working knowledge and expertise regarding substantive and procedural intellectual property law including patent and trademark office rules and procedures.
  • Must have excellent verbal and people skills with the ability to resolve issues
  • Strong organizational skills and attention to detail.
  • Must be proactive, self-disciplined and able to work independently and globally in a virtual team.
  • Good computer skills. Experience with online Patent Office portals (USPTO PAIR, Espacenet, CMS, EPO Mailbox) preferred.
  • Excellent verbal and written communication skills in English
