Our client, a leading multidisciplinary international research institution is seeking an Accounting & Administrative Officer.

You're Mission:
As the Accounting & Administrative Officer you will be the lead individual for dealing with the company accounts, working closely with an external partner to be able to provide live updates and share clear overviews of the businesses financials. The majority of the role will consist of Accounting and Controlling tasks, with a smaller proportion made up of Administrative responsibilities.

Accounting & Controlling tasks:
• Invoices - Controlling that they are accurate and complete. Uploading into our accounting system (Abacus) in accordance with our procedures, ensuring a smooth process and efficiently with 100% accuracy.
• Payments - Ensuring smooth and efficient payment management in accordance with our procedures. Ensures all payments are done in timely manner.
• Accounting - Acting as the main focal point with the external accounting services company and ensuring all required documents and procedures are fulfilled from our side. Quarterly budget status, monitoring and reporting. Monthly control and report of credit card expenses, cash expenses and accounting bookings
• Audit - Acting as the main focal point with the external auditors (PwC & KPMG) and ensuring that all necessary arrangements and all necessary documents are prepared on time.
• Serve as an advisor for the Director of Marketing, Events & Operations

Administrative Tasks:
• Sending Thank You Letters to donors and Society members.
• Monthly report - Bank, Donation and Thank You Letters.
• Secretary of the Swiss Society - Scheduling Board meetings, coordinating agenda items, sending meeting supporting material, reporting to the board, keeping protocols, sending the minutes for review one week after the meeting and follow-up on logbook items.
• Postdocs fellowships - Acting as the main focal point with applicants and the Academic Board members. Ensuring all required documents and procedures are fulfilled both from the applicants and the society side.
• ISSI - Acting as the main focal point with schools, applicants and our ISSI expert, scheduling interviews with the candidates ensuring all required documents and procedures are fulfilled both from the applicants and the society side.

You're Profile:
• Business Administration Degree - Accreditation in accounting and business administration.
• Abacus - Proven experience and record in the use of the Abacus system.
• Accuracy and systematics

• Time management
• Flexibility
• Confidentiality
• Language: German: Native language / English: Proficiency or an equivalent accreditation
• High Level Experience: Microsoft Office, Abacus, Adobe Acrobat
